The 39th Space Symposium, which took place in April 2024, is a premier global event that brings together space leaders from around the world to discuss and plan the future of aerospace. Held annually, this symposium serves as a vital congregation point for government agencies, industry leaders, and technology experts to showcase advancements, foster collaborations, and discuss innovations that will shape the outer space landscape.

Rocket Communications is a specialized company known for its expertise in creating user-centered designs and systems for high-stakes environments, including those in the aerospace sector. With a focus on mission-critical applications, Rocket Communications has been pivotal in deploying effective and intuitive solutions that enhance operational efficiencies and user experience across various platforms.

At the upcoming Space Symposium, my role involves extensive coordination of Rocket Communications’ exhibit — a task that includes not just the visual and interactive elements of the booth, but also the strategic marketing materials associated with our presence there. I am responsible for designing and producing various promotional items such as flyers, shot glass designs, drink koozie designs, business cards, plaques, booth backdrops, and pins. Additionally, I am spearheading our social media campaign to maximize our visibility and engagement during the event, and developing a mobile planner app to ensure our team is well-organized and can navigate the exhibition effectively. This multi-faceted involvement underscores the complexity and scope of preparing for an event of this magnitude, aiming to ensure that Rocket Communications makes a significant impact at the symposium.

Hey Rocketeers!

I just wanted to give a loud shout-out to the team who supported Rocket at Space Symposium last week. Your professionalism, knowledge, enthusiasm, and friendly presence made me so proud to be part of this company.

For those of you who couldn’t attend, rest assured you were well represented! Thank you Jean, Ryan, Brian, Adam, Mary, Curtis, Daniel, Dan, Gabby, and Steve!

I’d also like to give a special shout-out to Jean and Ryan. Thank you for crafting and managing a highly professional and soon-to-be fruitful event. Everything went off without a hitch, people were prepared, the booth looked wonderful, and our swag was absolutely some of the best at the whole show!

Lastly I’d like to give another loud shout-out to Pierre. He represented all of us with affability, professionalism, and deep knowledge of what we do. He was tireless running from meeting to meeting, able to jump from topic to topic without skipping a beat, answering hard questions, all while maintaining a highly positive demeanor.

I don’t doubt for a heartbeat that we’ll be winning multiple projects because of his efforts. This was the big show of the year for Rocket and I am so grateful to you all for how you represented and supported the company.

As part of Rocket Communications’ efforts to enhance our visibility and engagement at the 2024 Space Symposium, I spearheaded a targeted LinkedIn social media campaign. This campaign was strategically designed to showcase our booth and highlight our innovative products, particularly our Astro UX Design System, which is integral to our offerings in the aerospace sector.

Each post in the campaign, like the one highlighted, served to not only inform but also intrigue and engage our professional network about our participation in the symposium. Using carefully crafted visuals and succinct, impactful messaging, the posts aimed to build anticipation and draw attendees to our booth. The content was curated to emphasize Rocket Communications’ expertise in UX design within the aerospace industry, demonstrating our commitment to enhancing user interfaces for space applications.

The campaign involved a series of posts leading up to, during, and after the event. It leveraged hashtags such as #SpaceSymposium2024, #AstroUXDS, and #UXDesign to increase reach and discoverability. Each post was tailored to highlight different aspects of our involvement, from showcasing our booth design to the team behind our projects, and even included interactive elements to foster engagement. This strategic approach not only increased our visibility but also positioned Rocket Communications as a thought leader in the space technology design field.

Exhibit Strategy

Designing and coordinating the logistics for Rocket Communications’ booth at the Space Symposium required meticulous planning and execution, especially given the range of promotional items and booth materials involved. Each component played a crucial role in ensuring a successful presentation and brand experience for visitors. Here is a detailed breakdown of the processes involved for each item:

  • Pins: The design of the pins required creativity and alignment with Rocket Communications’ brand image. Once the design was approved by leadership, I managed the ordering process, ensuring the pins were manufactured to specification and shipped to Colorado Springs. These pins served as attractive takeaways for booth visitors, enhancing brand recall.
  • Booth Backdrop: The booth backdrop was one of the most significant visual elements. I collaborated with graphic designers to create an engaging backdrop that effectively communicated the essence of Rocket Communications. After design approval, I coordinated the production and ensured its timely shipment to the event location, paying close attention to the quality of the printed materials.
  • Booth Banners: Similar to the backdrop, the banners required high-resolution graphics that were consistent with our branding. The banners were designed to catch the eye from afar, thus drawing more visitors to our booth. After the approval process, I oversaw their production and managed the logistics of having them delivered intact and on time.
  • Exhibitor Shirts: For team uniformity and brand consistency, I designed and ordered custom exhibitor shirts. These shirts were not only practical but also enhanced team spirit and made our staff easily identifiable to symposium attendees. Ensuring the correct sizes and timely delivery involved coordinating closely with the supplier.
  • Booth Layout Design: Planning the booth layout was crucial for optimizing visitor flow and interaction. This involved detailed schematics to accommodate all display elements and ensure accessibility. The layout was designed to maximize engagement with visitors while showcasing our technology and services effectively.
  • Drink Koozies: As a unique promotional item, drink koozies were designed with catchy graphics and slogans. After finalizing the design, I placed the order and arranged for shipping, making sure they arrived in time and matched the quality standards set by our team.
  • Silicon Shot Glasses: These were another creative handout intended to leave a lasting impression. The design process was followed by a careful selection of a manufacturing partner who could deliver high-quality silicon shot glasses. I managed the entire process from design approval to delivery at the symposium site.
  • Informational 5×7 Handout Flyers: These flyers contained key information about Rocket Communications and our offerings. I ensured that the flyers were not only visually appealing but also informative. Managing the print quality and timely delivery required detailed coordination with the printing services.
  • Plaques for Client Distribution: The plaques were a special item intended for significant clients and partners. Each plaque required individual attention to detail in both design and material selection. I supervised the crafting process and arranged for secure shipping to ensure they arrived in perfect condition.
  • Business Cards: Essential for networking, the business cards were designed to be memorable and align with our visual identity. I oversaw the production process, ensuring that the cards were printed correctly with all the necessary contact information and delivered on time for the event.

Each of these tasks demanded over four weeks of intensive planning, design, approval, and coordination to ensure everything was in place for a successful symposium showing. The process involved not just logistical management but also quality assurance checks to ensure that every item met our high standards and accurately represented Rocket Communications at one of the most important industry events of the year.

Mobile Planner

Each category in the mobile planner app was designed for the Rocket Communications team at the Space Symposium, incorporating the following functionalities:

  1. Daily Itinerary for Booth Exhibitor 4-day Shifts
    This schedule showcases upcoming shifts, ensuring exhibitors are always prepared and punctual while attending the booth.
  2. Daily Itinerary for the Business Development Team Meetings
    Specific schedules that pertain to the BD team. The meeting’s list times and locations, enhancing meeting preparation through reminders and agenda sharing.
  3. Military Rankings and Insignia
    Includes visual representations of military rankings and insignia, aiding team members in recognizing and properly addressing military personnel at the event.
  4. Booth Exhibitor Plans and Swag Giveaways
    Lists of booth setup materials and swag item distribution.
  5. Links to Space Symposium
    Provides direct links to the Space Symposium’s official site and essential resources, keeping all information current and accessible.
  6. Maps
    Offers maps with features for helping users navigate the complex venue efficiently.
  7. Food
    Includes menus, locations, and operating hours of onsite food services.
  8. Lodging
    Provides details of lodging facilities to streamline accommodation arrangements.
  9. Parking
    Delivers maps, rates, and parking options for the event.
  10. Exhibitor List
    A list of exhibitors, allowing users to find booths and exhibitors quickly and efficiently.
  11. Contact List of Rocket Team Members
    Features comprehensive contact details for team members.
  12. Reference Material
    Provides easy access to documents and materials.
  13. Happy Hour Events
    Lists all associated networking events, helping team members maximize networking opportunities.

This comprehensive mobile app is designed to ensure the Rocket Communications team has a streamlined, effective experience at the Space Symposium, equipped with all necessary tools for optimal performance and connectivity.
